Getting started with Closive

Frequently asked questions

How to get started, choose what to track, and stay in control.

How do I use Closive?

You can start in two ways:

  • Let Closive find open work. Connect Gmail and enable automatic discovery to find important commitments and follow-ups, track updates, and prepare useful next steps.
  • Tell Closive where to focus. Share a project, responsibility or topic you want help with. Start with what you share in Chat, and connect relevant sources when needed.

You can combine both approaches and change what Closive tracks anytime.

What should I try first?

Give Closive one real responsibility. For example:

  • “Track the client proposal and watch relevant email for updates.”
  • “Help me prepare for tomorrow’s customer meeting. What is still open?”
  • “Every Friday at 9 a.m., email me a summary of the client follow-ups I’m waiting on.”

Share the context you have. Closive can ask for the information or access needed to help.

How is Closive different from a regular AI chat?

Closive is built around ongoing work. It keeps tracked responsibilities, relevant context and prepared next steps together, so you can return to a project as it develops.

Ask it to watch relevant email for updates, prepare for a meeting, or deliver a recurring report. Your conversation and tracked work stay together across devices.

Do I have to connect my email?

No. You sign in with Google to identify your account, but Gmail, Calendar and Drive access are optional. Start with information you share in Chat or voice.

Closive asks for relevant access when a task needs it. Simple reminders and work based on what you share do not require inbox access.

What happens when I connect Gmail?

You choose how Closive uses it. Enable Find new work in email to automatically discover and track important commitments and follow-ups. Or ask Closive to focus on specific projects or topics and watch relevant email for updates.

You can also request a one-time lookup without starting ongoing monitoring. Connecting Gmail alone does not enable automatic discovery.

Google’s reading permission covers your mailbox; Closive limits its reads to your requests and monitoring choices. See Privacy for details.

Will Closive send emails or change things without asking?

Emails to others and supported Calendar or document changes require your approval of the exact draft. Granting access alone does not approve an action.

If you explicitly ask “email me this,” or choose scheduled email delivery to yourself, delivery to your verified account address does not require another approval.

Can it run tasks on a schedule and email me the results?

Yes. Ask for a reminder, research or report on a one-time, daily or weekly schedule. Results stay in Closive, and you can choose to have them emailed to yourself too. Open Scheduled to see history, change timing or delivery, pause a task, or run it now.

Scheduled email results come from Closive and do not need Gmail sending access. Chat requests such as “email me this” send through your connected Gmail and need sending access. Tasks that read connected sources still need the relevant reading access.

Can I control what it tracks and accesses?

Yes. Change or stop tracking individual cards or topics, and turn finding new work in email on or off in Settings. Turning discovery off keeps updates for work already being tracked; stop individual cards or topics to stop their monitoring.

Manage connected permissions from Google access. Account and privacy lets you pause processing, disconnect Google or request account deletion. Stopping tracking or disconnecting preserves saved history.

What happens to my data?

Closive uses the information you share and relevant connected content to help with your work. Relevant requests and context are processed by third-party AI providers; voice uses speech providers. You are asked to accept the data-sharing disclosure before AI processing starts.

Saved work and history are kept while your account remains active. Stopping tracking or disconnecting Google does not erase them. You can request account deletion from Account and privacy.

Read Privacy, Security and Data retention for access, processing and deletion details.

What are its current limits?

Closive can research public information and read public pages, but it cannot operate websites through your signed-in browser, complete portal workflows or submit web forms.

Voice lets you speak your requests and listen to replies; it is not a continuous, phone-style conversation. Some research and preparation take time, with results returned in the app when ready.

Closive is early software and can miss context or make mistakes. Review important facts and prepared actions before relying on them.

Where can I use it?

Use Closive on the web or on iPhone through TestFlight. Sign in with the same Google account to access your conversations and tracked work across devices.

Access is currently by invitation. If you have not been invited, sign in on the web to register your interest. Installing the iPhone app does not itself grant account access.

Start with one real responsibility.

Share what you’re working on. Choose what to connect as you go.
